AI assistants that handle an agency owner's inbox, scheduling, and follow-ups
Using an AI assistant (Lindy) with Calendly and a notetaker to clear the inbox, book meetings, and draft follow-ups, with published prices and approval controls.
An AI assistant such as Lindy can triage your inbox, draft replies and follow-ups in your voice, and handle scheduling, with approval before anything is sent; it starts with $50 in free credits for 7 days, then Team from $29.99/user/mo. If you only need to end scheduling back-and-forth, Calendly's free plan is enough, and if you only need meeting notes, Fathom has a free plan.

The problem
Agency owners and producers lose hours to email triage, back-and-forth scheduling, and writing follow-ups after client meetings. That work is repetitive but client-facing, so it can't just be ignored. A newer category of AI assistants connects to your email, calendar, and CRM, drafts replies and follow-ups, and handles scheduling, while still letting you approve anything that goes out.

Start with the free trial or free plan where one exists, follow the setup steps below, and pilot it with one person or one workflow before rolling it out.
What to hand off, and what to keep
Good to hand off: sorting and labeling the inbox, drafting routine replies (document requests, “got it, we’ll get back to you”), proposing meeting times, writing the recap and follow-up after a meeting, and daily or weekly briefs on what needs attention.
Keep with a licensed person: anything about coverage, claims decisions, binding, or premium quotes. An assistant can draft, but a person should review and send.
Setup in one afternoon (Lindy example)
- Sign up with the free credits (Lindy’s pricing page says $50 in credits, no credit card, lasting 7 days).
- Connect one inbox and your calendar first. Add the CRM after a week.
- Ask for a daily morning brief of emails that need a reply and meetings to prep for.
- Have it draft replies, but keep approval on for every send (Lindy’s FAQ says outside actions wait for approval).
- Turn on meeting notes for client reviews, and have it draft the follow-up email for you to approve.
- Watch credit use for two weeks. Lindy’s pricing page lists everyday asks at 2–250 credits and deep work at 250–1,000, and it pauses instead of overbilling when credits run low.
If you only need one piece of this, the simpler tools are cheaper: Calendly for scheduling, Fathom for notes.
Compliance notes
- Approvals. Keep a human approving every outbound message, at least at first. Client emails are advertising and correspondence that may fall under your state’s insurance rules and your E&O standards.
- Data security. Many states have adopted versions of the NAIC Insurance Data Security Model Law (Model #668). Review what the assistant can access, and limit it to the inboxes and folders it needs.
- Sensitive data. Lindy lists HIPAA compliance with a signed BAA only on Enterprise. Don’t route health information through a lower plan.
- Recording consent. If it records meetings, announce it. Some states require all-party consent, for example California (Penal Code §632).
- This is general information, not legal advice.
Who should skip this
- Agencies with a capable assistant or CSR who already handles the inbox and scheduling.
- Anyone unwilling to review drafts. An unreviewed AI assistant sending client email is a real E&O risk.
FAQ
Will an AI assistant send emails on its own? Lindy says actions with outside impact, such as sending an email, wait for your approval, while read-only lookups don’t.
How is Lindy priced? By credits pooled across your team. Its pricing page lists paid use from $29.99 per user per month for 3,000 credits, with top-ups at $10 per 1,000 credits.
